HOLY ANGELS FINANCE COMMITTEE MINUTES
February 19, 2009
OPENING PRAYER
Fr. Jerry Brittain led
the opening prayer.
ATTENDANCE
Fr. Jerry Brittain, Fr. Rick Wendell, Don Felix, Jack Daniels, Paula Beine,
David Beine, Mike Nowack, Kathryn Fisher Davies, Charles O’Meara, Randy Lawson,
and Harry German. Not in attendance: Pete Rettler.
MINUTES OF THE PRIOR MONTH
A motion was made by Don Felix
and seconded by Kathryn Fisher Davies to accept the minutes from the prior
month. The motion was approved unanimously.
REVIEW OF FINANCIAL
STATEMENTS - December
Weekly Envelopes were $53,775 less than the budget for the month and
the Y-T-D was off by $83,631. The Stehling account was corrected during the
month and the Y-T-D figure was correct. The School Trust Fund gave to the
Parish $40,000 during the month. The School gave $20,000 to the Parish a
portion of the Instructional Fee (per budget).
Expenses for Salaries & Benefits were slightly under budget (Y-T-D). Two bills were paid during the month for Health Insurance; that will be corrected in February. A heating bill of $9,500 was not received in time to be paid during the month. Capital Expenditures for the Y-T-D is correct as stated; the “prepaid account” has now been totally consumed with the payment of the last bill for the caulking & tuck-pointing of the church and school.
The Parish Checking account has a balance of $32K. The Parish Savings account is at $35K. The Parking Lot Fund Debt is at ($48.4K) and the School Trust Fund is at $1,585.5K.
PROPERTY AND GROUNDS UPDATE
Jack mentioned that the committee has updated its priority schedule
for the next fiscal year.
Current projects that are being worked on is the “old truck” – brakes, belts & Hoses; water in the elevator pit; and consideration for the cemetery roads and their repair (responsibility of the Cemetery Board of Directors).
FAITH IN OUR FUTURE
Total pledges to date are $625,000. The Parish received its first transfer
of funds from the Faith in Our Future foundation in the amount of $44,800. This
is being kept separate from regular Parish funds and is to be spent in
accordance with our case statement. (Taken from Feb. 22nd Bulletin)
AUDIT
DISCUSSION
Jack discussed results of the Archdiocese audit. Katie Hoeller,
Director, Parish and School Financial Services of the Archdiocese, sent a
“Summary Report” as well as a “Detailed Observations and Expectations” letter to
the Parish. A response to this audit is required and is due not later than
March 27, 2009.
Within the “Summary Report”, it appears that the biggest concern is that “the Parish does not maintain one set of accounting records”. As we all know, the school and the parish records are maintained separately.
Within the “Detailed Observations and Expectations”, it would appear that the biggest issue is that with the “Football Fever Extravaganza”. Katie Hoeller writes: “This type of lottery is not a legal gaming activity…The parish must discontinue its participation in this activity.”
There are other issues that Katie Hoeller addresses – the emphasis being placed on all of the separate check books/separate bank accounts associated with miscellaneous fund raising activities at the School.
Dave Biene offered to be the official spokesperson that would reply to Katie Hoeller. At the meeting, Fr. Brittain then appointed Dave to be that spokesperson and directed him to create the response to Katie Hoeller in order to comply with the date in her request (3/27/09).

SCHOOL TRUST FUND
The Parish Board of Trustees (School Trust Fund) has requested a meeting
with the Advisory Board on Thursday, March 5th. This would be the
“final step in engaging a professional money manager to begin investing the
assets of the School Trust Fund…” (quoted phrase taken from Chuck O’Meara’s
E-mail dated 2/23/09)
ANNUAL BUDGET CONSIDERATIONS:
In compliance with the directive of the Parish Council at its January
meeting, the School Board presented J. Daniels with three additional budgets.
The one budget showing a Parish subsidy in the amount of $600,000 will indeed
provide for a balanced budget; however, tuition would need to be increased by
about 8.4% (there would be NO salary increases for teachers or staff).
Additional alternatives were noted: 1. Consideration for a shared/part time associate pastor as compared to a full time associate pastor; 2. Reducing the faculty as a result of dealing with the issues relating to one smaller class and further consideration of all staffing needs. (The Parish Council will communicate directly with the School Board on this issue); and 3. Reclassifying a school position in order to obtain reimbursement from the Stehling fund.
ADMINISTRATIVE
MATTERS
On Tuesday, February 17th, there was a meeting between the parish
councils of St. Mary’s and Holy Angels. The conclusion of the meeting was that
both parishes expressed a desire to form a Task Force. The goal of the Task
Force was to research/study/put forth a recommendation “that a partnership be
formed between the two schools or … recommend that there be no
partnership formed and the schools continue to remain separate.” (quote taken
from “In Today’s Principal Newsletter” (by Gail Craig) dated 2/18/09).
ADJOURNMENT
A motion to adjourn was made by Randy Lawson and seconded by Mike Nowack. The
motion was approved unanimously.
